Terms & Conditions – Distribution & Printing Services
1 – Acceptance of Terms
By placing an order with Bayside Letterbox Distribution, the client agrees to these Terms and Conditions. These terms apply to all distribution, printing, and related services unless otherwise agreed in writing.
2 – Distribution Services
Bayside Letterbox Distribution provides letterbox distribution services across nominated suburbs and delivery areas.
Distribution is carried out to accessible residential letterboxes and excludes letterboxes displaying “No Junk Mail”, “No Advertising Material”, or similar signage.
Distribution may also be limited by access restrictions including locked buildings and/or gates, gated communities, apartment access limitations, or locations considered unsafe by delivery personnel.
3 – Distribution Service Options
Bayside Letterbox Distribution offers two distribution services: Single Item Delivery and Bundled Delivery.
3.1 – Single Item Delivery
Single Item Delivery involves the distribution of a single advertising item per letterbox, where the client’s material is the only advertising item carried by walkers in the selected delivery area on the day of distribution.
Under this service:
Flyers are placed in the letters section of eligible letterboxes only.
Delivery areas are monitored using GPS mapping for internal auditing purposes. GPS data is retained for up to four (4) weeks only.
Distribution scheduling is subject to availability and campaigns are scheduled on a first-in, first-served basis.
Printed materials must be delivered to our warehouse at least two (2) business days prior to the scheduled distribution commencement. Late delivery of materials may result in delays to distribution.
3.2 Bundled Delivery
Bundled Delivery is an aggregated distribution service where advertising material is delivered together with other catalogues or advertising items within a bundle.
Under this service:
The client’s material forms part of a bundle distributed for that week.
The bundle is placed in the newspapers section of eligible letterboxes.
Bundles may contain multiple advertising items or catalogues.
The number and type of materials included in any bundle cannot be predicted in advance.
This service is not GPS tracked.
Distribution typically commences within approximately eight (8) business days from the Wednesday following receipt of stock, subject to operational scheduling.
Due to the aggregated nature of bundled delivery, distribution may occur across sections of a suburb rather than every street within the suburb.
Bundled delivery is designed as a cost-efficient service intended to provide broad exposure rather than guaranteed suburb-wide saturation.
4 – Delivery Areas and Coverage
Distribution services are delivered across nominated suburbs and delivery areas.
Due to operational logistics, access restrictions, and delivery limitations, delivery to every residence or street within a suburb cannot be guaranteed.
Clients seeking greater delivery control and verification may choose the Single Item Delivery service.
Distribution is considered complete once the allocated delivery routes have been serviced or the supplied materials have been distributed, whichever occurs first. Any remaining materials following completion of distribution may be retained, recycled, or disposed of unless otherwise agreed.
5 – Estimated Delivery Coverage
Due to the presence of “No Junk Mail” signage, inaccessible properties, apartment access restrictions, and other delivery limitations, advertising material may reach less than the total number of residences within a suburb or delivery area.
Distribution quantities are therefore based on estimated eligible letterboxes rather than total dwellings within a suburb or delivery area.
6 – Supply of Materials
Where clients supply their own printed materials:
Materials must be delivered to the agreed warehouse location by the agreed deadline.
Materials must be boxed and bundled appropriately for handling and distribution.
Boxes must not exceed 12kg in weight.
Where materials require additional handling, repacking, or bundling prior to distribution, additional charges may apply.
Where insufficient quantities are supplied, distribution may occur only across part of the scheduled delivery area.
Bayside Letterbox Distribution is not responsible for loss or damage to materials once distribution has commenced.
7 – Printing Services
Bayside Letterbox Distribution may provide printing services either in-house or through third-party commercial printers.
7.1 – Artwork Approval
Clients are responsible for ensuring all artwork submitted is final, accurate, and approved for printing prior to production.
Bayside Letterbox Distribution is not responsible for errors in approved artwork including spelling, layout, colours, design, or incorrect information.
7.2 – Print Variations
Minor variations in colour, trimming, alignment, paper stock, or finish may occur during commercial printing processes and are considered standard within the printing industry.
Major alterations or preparation of artwork for printing may attract additional charges to the client.
7.3 – Printing Quantities
Printed quantities may vary slightly from the ordered amount due to normal commercial printing tolerances.
7.4 – Production Scheduling
Where printing and distribution services are combined, distribution scheduling may depend on printing production timelines.
8 – Completion of Distribution
Distribution is considered complete once the allocated delivery routes for the campaign have been serviced.
Due to the nature of letterbox distribution, it is not possible to verify delivery to every individual letterbox.
9 – Delivery Variations
Letterbox distribution involves delivery across large geographic areas and individual delivery outcomes may vary.
Occasional instances where a flyer or notice is not received at a specific address or street do not necessarily indicate that the distribution campaign was incomplete or incorrectly delivered.
Distribution is carried out across the allocated delivery routes within the nominated delivery area and isolated delivery exceptions may occur.
Complaints and Service Queries
Any concerns regarding distribution must be submitted within seven (7) days of the completion of the distribution campaign.
Complaints submitted outside this timeframe may not be able to be investigated due to the time-sensitive nature of distribution services.
Where a verified service issue is identified, Bayside Letterbox Distribution may offer a reasonable remedy, which may include redistribution, service credit, or another resolution at our discretion.
Independent Delivery Contractors
Delivery personnel engaged to carry out distribution services may operate as independent contractors.
While Bayside Letterbox Distribution provides delivery instructions, route allocations, and operational guidance, delivery personnel are responsible for carrying out their assigned delivery routes independently.
Bayside Letterbox Distribution is not liable for actions, omissions, or conduct of individual delivery contractors outside the reasonable control of the company.
Marketing Results
Bayside Letterbox Distribution does not guarantee marketing outcomes, response rates, or business results resulting from distributed advertising materials.
Limitation of Liability
To the fullest extent permitted by law, Bayside Letterbox Distribution’s liability for any claim relating to distribution or printing services is limited to the value of the service fee paid for the affected service.
Bayside Letterbox Distribution will not be responsible for:
– campaign performance or marketing results
– indirect or consequential losses

– printing costs not arranged through Bayside Letterbox Distribution
Payment Terms
Payment terms will be outlined in the quotation or invoice.
Unless otherwise agreed, payment is required prior to printing or distribution commencing.
Failure to make payment within the agreed timeframe may result in delays to scheduling or cancellation of services.
Cancellation and Changes
Requests to cancel or modify confirmed campaigns must be made as early as possible.
Where materials have already been printed, scheduled, bundled, or prepared for distribution, cancellation fees may apply to cover operational costs incurred.
Force Majeure
Bayside Letterbox Distribution will not be liable for delays or inability to perform services where such delay or failure arises from events beyond reasonable control, including but not limited to:
– severe weather conditions
– illness or injury
– transport disruptions
– natural disasters
– government restrictions
Amendments
