Bayside Letterbox Deliveries (“us”, “we”, “our” OR “BLD”) operates this website (the “service”).

 

This page informs you of our policies regarding the collection, use and disclosure of personal data when you use our service, and the choices you have associated with that data. We use your data to provide and improve the service. By using the service, you agree to the collection and use of information in accordance with this policy.

 

Information Collection and Use

We collect several different types of information for various purposes to provide and improve our service to you.

 

Usage of Data

At Bayside Letterbox Deliveries, the data collected from our users is utilised primarily to improve and personalise the user experience on our website. We may use personal data provided, such as email addresses and contact information, to communicate updates, respond to enquiries and provide information about our services. Additionally, the data collected, including usage patterns and preferences, assists us in enhancing our website functionality, tailoring content to individual preferences, and analysing trends to continually improve our services. Rest assured, we prioritise the security and confidentiality of all user information, using appropriate measures to safeguard and protect data in accordance with established privacy regulations. We do not sell or share personal information with third parties for their own commercial purposes. Users’ trust and privacy are of utmost importance to us.

 

TERMS AND CONDITIONS

Thank you for considering the use of Bayside Letterbox Deliveries for distribution of your printed materials. If you commit to utilising our services, it is understood that you accept and agree to be bound by our terms and conditions as specified below. Please know that Bayside Letterbox Deliveries reserves the right to change these terms and conditions at any time, and any such modifications will be effective immediately upon the posting of the changes.

 

ACCEPTANCE OF ORDERS

The conditions set out below apply to all orders accepted by Bayside Letterbox Deliveries, and to all quotes accepted by customers or potential customers. Bayside Letterbox Deliveries reserves the right to alter or amend these conditions at any time, and all amendments will apply to all orders placed after posting of the relevant changes.

All quotations are valid for a period of thirty (30) days, unless specified in writing.

Bookings must be confirmed in writing prior to commencement of the distribution.

We ask that all stock is delivered to our warehouse in Cheltenham a minimum of two business days before delivery is scheduled to commence (single item service – our bundled service has a minimum turnaround of 8 business days). We do not offer a pickup service. All stock must be bundled in multiples of 50 and boxed. Boxes must weigh no more than 12kg. We reserve the right to charge a bundling fee for stock that has not been bundled before delivery to us.

 

DISTRIBUTION SERVICES

We use Australia Post and industry-generated data to give us an estimated number of deliverable (“eligible and accessible”) letterboxes (ie those that do not have ‘No Junk Mail’ or ‘No Advertising Materials’ signs, and are easily accessible) for each suburb. Whilst this is the most accurate information we have access to, it is not exact and the actual number of deliverable letterboxes in each suburb may vary from the numbers provided.

We offer two distribution services: a single item/standalone service and a bundled service. Our single item service utilises walkers dedicated to the solo distribution of marketing materials or community announcements, however there may be occasions when two separate items are carried by the walkers to comply with the distribution of time-sensitive materials within the same location.

Bayside Letterbox Deliveries reserves the right to subcontract distribution to a third party in order to meet its obligations, if and when necessary.

When contracted to conduct a distribution, Bayside Letterbox Deliveries will use best endeavours to complete the distribution on time and within the parameters agreed with our customers. However, unavailability of walkers, adverse weather conditions, health and safety issues, hazardous conditions or inaccessibility of letterboxes may adversely affect the distribution. For these reasons we cannot guarantee full distribution to all eligible and accessible residences within the agreed target area for distribution.

We reserve the right to alter or amend the timing and location of distributions if needed and as feasible given the parameters agreed upon with our customers.

We use our best efforts to distribute printed stock in the quantities and locations agreed with our customers, but do not guarantee that the distribution of your marketing materials will generate a positive response. We are not responsible for the lack of any new or increased business, or the lack of an expected response, as a result of the distribution.

We reserve the right to remove and recycle stock that has been dormant in our warehouse for more than six months, unless there is a prior agreement for BLD to distribute this stock on specified future dates. We also reserve the right to charge storage fees (which will be notified in advance, in writing) for stock that will be distributed over a significant period of time.

We reserve the right to refuse, suspend or terminate our service at any time, either by spoken or written notice.

 

CANCELLATION

There will be no financial penalty for a distribution that is cancelled prior to the commencement of the distribution, however, we reserve the right to charge a fee for work incurred in retrieving stock that has already been dispatched from our warehouse.

We reserve the right to offer discretionary refunds for cancellations after a distribution has commenced, dependent on the portion of work that has been concluded. If payment was not made in advance of the distribution, we will require payment for the portion of work that was completed before the cancellation notice was received. Undelivered stock will be available for collection by the customer.

 

COMPLAINTS

We take allegations of non-distribution seriously, and will investigate as carefully and immediately as possible. Any complaint regarding our distributions must be received within seven (7) days of the completion of that distribution. Complaints regarding non-receipt of materials will not be investigated beyond seven days of distribution – after this time period (or even sooner), results tend to be inaccurate as residents often cannot reliably recall or identify what material has or has not been received.

If given reasonable proof, in writing and within seven days of completion of the distribution, of non-delivery to a specified address that is eligible and accessible, we will use our best endeavours to rectify the non-delivery.

 

PRINTING & GRAPHIC DESIGN

All specifications for print work to be undertaken by BLD must be received in writing prior to initiation of the print job. Any instructions requiring a reprint, received after the original printing has been initiated, will be to the cost of the customer.

While every care is taken to proofread prior to printing, BLD is not responsible for any errors or misspellings in artwork provided by customers.
